Every organization has a unique set of circumstances and concerns that need to be addressed in the planning and implementation process. Enrollment Benefit Concepts has the capability to utilize a variety of enrollment methods – from meeting individually with employees to national state-of-the-art telephonic. Our Brochure provides information about how we help to manage all of the moving parts in the Benefits Enrollment and Communication.

Overview of Services

Enrollment Benefit Concepts, LLC is one of the most experienced enrollment organizations in the United States. Our capabilities in pre-enrollment planning and enrollment implementation are unrivaled. Regardless of the size of the business and/or number of locations, we make the benefit enrollment process easy and efficient. EBC's nationwide network of licensed benefit insurance specialists receive case-specific training prior to each enrollment. This assures you of quality, efficiency and consistency throughout the enrollment process. Our firm does NOT pay commission to these benefit specialists, they are strictly salaried or paid a daily per diem.

 

Pre-Program Planning

Enrollment Benefit Concepts works with the employer to ensure minimum disruption of the employer's essential business activities during program planning and implementation. During this planning stage, we:

  • Obtain payroll and employee census data
  • Identify all business locations and liaison personnel
  • Conduct informational meeting(s) with appropriate liaison personnel
  • Determine the least disruptive method to schedule individual employee meetings
  • Schedule meeting times and determine appropriate location(s)
  • Prepare pre-enrollment announcement materials

Face-to-Face Individual Enrollment

Face-to-Face enrollment offers employees an individualized approach to enrollment, ensuring confidentiality and personal service by meeting one-on-one with a benefit specialist. Our on-site teams are positioned at major locations of a company, complete with secure laptop computers, making the process efficient and specific to each individual. Employees receive information in advance. On enrollment day, they meet with a benefit specialist to review options, have questions answered and make plan selections electronically at that time. Once the enrollment process is complete, the final enrollment selections are securely sent to the various insurance companies to complete the policy approval process.

Enrollment Methods

Every organization has a unique set of requirements and concerns that need to be addressed in the planning and implementation process. EBC has the capability to utilize a variety of enrollment methods, as appropriate, to increase the success and efficiency of the enrollment.

Face-to-face enrollment: This common method utilizes an individual approach to ensure confidentiality and personal service. We include education about current employer-provided benefits, communicate changes and share the value of their benefits. During this meeting, the benefit specialist and employee discuss a brief "needs analysis." We use laptop computers to promote efficiency, continuity and individual planning.

Telephonic enrollment: While employees receive an identical message as face-to-face meetings, this approach usually is implemented when logistics make employees inaccessible or when face-to-face meetings are inefficient in terms of time and resources. Telephonic enrollment always assist self-serve and online enrollment methods. 

Self enrollment: Combined with EBC’s National Call Center support and/or Face-to-Face Individual Enrollment method, self enrollment offers a convenient and efficient option for larger organizations with multiple shifts and locations.

Group enrollment: Sometimes it is just impractical or impossible to meet each individual employee. In those situations, EBC will meet with them in a group setting. Interested employees may then meet with a benefit insurance specialist face-to-face, telephonic or online to complete their applications.

 

Implementation

An EBC implementation manager is assigned to every scheduled enrollment to help conduct planning meetings, determine the implementation schedule and establish the appropriate enrollment method. Their involvement is vital to a successful, efficient and effective enrollment.

Telephonic Enrollment

Enrollment Benefit Concepts has a state-of-the-art phone system along with leading-edge Voice Recording Capabilities. Telephonic meetings are similar to face-to-face enrollment and usually implemented when logistics make employees inaccessible, or when face-to-face meetings are inefficient in terms of time and resources. When a company selects telephonic enrollment, each employee is given a telephonic enrollment guide with easy-to-follow instructions. Inbound or outbound calls are scheduled in advance. Once the enrollment process is complete, the final benefit selections are securely sent to the various insurance companies to complete the policy approval.

Benefits of Telephonic Enrollment:

  • Efficient and cost-effective for scattered locations with few employees
  • Allows employees to call at a time that is convenient for them
  • Provides a means to enroll larger national organizations with multiple shifts and locations
  • Calls can be either inbound or outbound
  • Phone interviews are private
  • Personal touch
  • Supplemental benefit enrollment can be done in conjunction with employer-offered/funded (Core) benefit enrollment

Self Enrollment

Employees can complete their own enrollment with a partner system of Employee Benefit Concepts. Self enrollment can be combined with any of other EBC enrollment methods. Self enrollment is always accompanied by call center and/or face-to-face enrollment. If a company selects to include self enrollment in their election process, additional communication for employees is very important. At EBC we strive to make sure that evey employee understands the value of the benefits available. Once the enrollment process is complete, the final benefit elections are securely sent to the various insurance companies to complete the policy approval process.

Benefits of Self Enrollment:

  • Allows the employee to enroll at a time that is convenient for them
  • Provides a means to enroll larger national organizations with multiple shifts and locations
  • Can have Call Center Assistance to help when its needed
  • Supplemental benefit enrollment can be done in conjunction with employer-offered/funded (Core) benefit enrollment

Group Enrollment

When it’s not possible to coordinate individual meetings with employees, a group setting provides an opportunity to educate employees about benefits choices and the enrollment process to ensure efficient completion of applications.

Benefits of Group Enrollment:

• Accommodates situations where individual meetings are impractical
• Effectively delivers timely group information
• Provides specific answers to questions about benefits and enrollment
• Allows follow-up options for face-to-face meetings with benefit specialists
• Helps prepare employees to complete applications telephonically or online

National Call Center

If clients have questions, before, during or after the enrollment process, we offer a Licensed National Call Center, which is fully staffed with benefit specialists for existing and new enrollees. The Call Center is opened during times predetermined during the enrollment to answer any questions employees have on their available benefit programs. Our call center is a great tool for onboarding new hire benefits.

Total Compensation Statements

One of our services includes providing each employee a Total Compensation Statement, which outlines each employee’s complete compensation package. By having benefits and salary detailed in this statement, an employee sees the bigger picture and realizes greater appreciation for their employer and the benefits they provide.

Customized Benefit Guides

EBC offers a unique service to its clients by offering customized benefit guides (digital and/or print) that combine all of the information into one employee benefit resource. The guides outline all of the employer offered/funded core and supplemental benefits available to employees, supplying the necessary information to make informed decisions.

Employee Feedback

During enrollment meetings, we can administer a survey to employees to gather information and feedback regarding benefit offerings.
